From Concept to Installation: Managing the Furniture Specification Process

Interior designers spend significant time specifying furniture for commercial projects. A streamlined specification process reduces errors, speeds up procurement, and keeps projects on budget.

Phase 1: Concept and Mood Board

Start with the design intent. Define the aesthetic direction, material palette, and functional requirements. At this stage, you are not selecting specific products — you are establishing parameters.

Phase 2: Product Research and Sourcing

Identify manufacturers who can deliver your vision within budget. For custom pieces, reach out to factories early — they need 2-3 weeks just to provide accurate quotes and feasibility feedback.

Phase 3: Detailed Specification

Create cut sheets for every item: dimensions, materials, finishes, hardware, and performance standards. Include COM (Customer Own Material) requirements if using specific fabrics.

Phase 4: Sample Approval and Production

Review physical samples before approving production. Check joinery, finish quality, and comfort. A good contract furniture supplier will iterate on samples until you approve.

Phase 5: Delivery Coordination

Coordinate delivery schedules with the construction timeline. Furniture arriving too early gets damaged on site; too late delays project handover.
